Maintenance and mission, or,
What are we doing here?

I have been teaching for years about the ministry of the laity, resonating with Verna Dozier’s writing about “the Church, the people of God” as opposed to “the Church, the Institution.” I have explored with people the implications of our baptismal covenant and more recently reflected deeply on the catechism’s account of the ministry of the laity: “to represent Christ and his church, to bear witness to him wherever we may be, and — oh yes – almost an afterthought, “according to the gifts given us, to take our place in the life, worship and governance of the Church.” (BCP, p.855) The work of the Church, I’ve been telling people for almost a generation, is primarily in the world, carried out by “the church, the people of God.” The institutional church & its leaders sustain and nurture us in our ministries. That’s the idea, anyway.

And now I find I am taking my own place in the “life, worship and governance of the Church,” by serving as the Rector’s Warden in my congregation. I’ve thought of myself mainly as a “spiritual formation person.,” a mission-minded Christian. So why am I spending all this time on budgets, finance, “maintenance?” As we put all these resources into maintaining and sustaining a building, staff, and program, I need, for my own sanity, to ask: What are we doing here? Here, in this place where the church building stands: on a busy thoroughfare leading into Washington DC, just inside the Capital beltway, on the edge of a suburban neighborhood.

Some insights about this came to me recently on “parish beautification day,” when some of us came over to church on a Saturday morning to do some deep cleaning and setting-to-rights in the aftermath of major work on our new HVAC system, the centerpiece of our capital campaign. My assigned job was to take a rag, a bucket, and some Murphy’s oil soap and wash down the tops of our solid oak pews. I had to empty the wash water every other pew because it was black with the soil from all those human hands, supporting themselves as they stood, sat and knelt at worship. I thought of Gerard Manly Hopkins’s poem, “God’s Grandeur,” where he says that “all is seared with trade, bleared, smeared with toil, /and wears man’s smudge and shares man’s smell.” Real people, bringing with them all the mess and muck of life, come here to worship and pray and be together at our lively worship services in this place, and we leave our marks. For a moment my job felt like the rite of foot-washing we are called to on Maundy Thursday, acknowledging the soiled humanness of all of us, our need to be washed in order to participate in Christ.

As I worked, together with my friends Quinton and Abudullah, washing floors and pews in various parts of the sanctuary, a woman came in the front door, which we had left open. She wondered if she could fill a bag of food from our food closet; she’d lost her job and this would help her to make ends meet this week. We welcomed her gave her a bag,, and showed her where the pantry was — and reflected, among ourselves, at our own blessedness at having enough, right now, in these hard times, when so many people are struggling economically.

Indeed, it seems that many in the local community are turning to our presence on this corner in hopes of finding a place of help and welcome. More and more, in these difficult times, the rector reports that homeless people are coming to our door in search of food, warm clothing, access to social services. A community of homeless people is forming under the beltway overpass, just a quarter of a mile down the road. We are clearly being called to some deeper discernment about how we can best and most responsibly provide the right kind of help to our near neighbors in need. The church building, with its carving of Our Saviour, arms outstretched, over the front door, says to the world, “There is help here.” Somehow the building and the people alike are called to give solid form to that help.

“The church is not a building/ The church is not a steeple/ The church is not a resting-place/ The church is a people,” goes a song my children learned in Sunday school. But now it seems more complicated than that. Dietrich Bonhoeffer writes somewhere that “the church of Jesus Christ takes up space in the world,” and our buildings and the way we use them is one way we do this. As I enter my 2nd year of a 3-year term in leadership, I am praying for clarity about how we are called to use what we have – in building, staff, and other resources—the nitty-gritty, institutional stuff that we support with our regular givings and thanks-givings – to be the presence of Christ on this corner, for those around us and for all who come through our doors.

Under Christian Education the amount of $380.00 was for the campership for

Under Outreach Expenses $380.0 was for the Camp Spirit donation(previously

approved by the vestry).

Under Office Expenses $69.91 was for bulletins and PV Times advertisement.

Under Worship $60.00 was for third quarter lectionaries.

Carol Slaughter answered question about In-kind donation amount. This will

always show as -0- on report, at the end of the year the amount(s) donated will

show on individual donation report.

Outreach fund includes the Discretionary fund.

Old Business:

1) Loyd Platson: Final decision on flooring has been made. Cost will be approx.

$4,120 for the pvc “tile” flooring. Money for the flooring will come from the

following funds: Building Fund – $700.00. General Fund – approx. $1700.00.

Memorial Fund – approx. $1700.00. The last two being ½ each of the balance

remaining after the amount taken from the building fund.

2) Loyd Platson: Re: Building and Grounds Landscaping Committee, we will

revisit at next meeting, need to talk to people about this.

New Business:

1) Julie Platson: Endorsement for Ordination to the Diaconate for Clelia requires signatures from all vestry members. All approved and signed form.

2) Julie Platson: Asking for sponsorship of the Nathan Adelson Blue Butterfly

Coffee House event to take place on July 11, 2009. The cost is $250.00 to be

taken from the General Fund under advertising.

3) Loyd Platson: Community Health Surveys from NCC: St. Martin’s will contract

with NCC to do surveys at locations around town. St. Martin’s will receive

$1.50 for each survey that is turned in. The surveys need to be turned in by the

end of July. The incentive to fill out a survey will be a bottle of water or a soda

and a chance to win a $25.00 gift card. Loyd suggested that the money made

from this be used to offset the cost of the flooring and to cover the cost of the

soda, water and gift card.

4) Julie Platson: Summer teen nights for June will be on 6/19 (teen night)

from 6-8 P.M. and 6/22 (family night) from 6-8 P.M. Need adult volunteers to

be there to help and to supervise.

5) Julie Platson: Bishop Dan will visit St. Martin’s on 8/16/2009 when we celebrate

the 20^th anniversary of St. Martin’s. We need to start making plans for food,

possibly a new church banner. Also need to invite old members, local dignitaries,

and TV and radio stations and put an ad in the paper. Need to organize

committees to do this. Julie and Carol will coordinate.

6) Julie Platson: Stand for Children Day 2009 income/expense report shows that

this is more a community service project than a fund raiser. Report is included

with vestry meeting notes for June.

7) Bob Green: Re: Audit Committee Report (report with vestry notes for June).

St. Martin’s is in transition, goal is to be in total compliance with the Manual

of Business Methods in Church Affairs. Loyd asked vestry members to

individually review and make notes on report and be ready to discuss at the

next vestry meeting. Carol suggested an audit be done every five (5) years.

Bob Green: Re: Church insurance assessment (incl. with June vestry notes).

Bob presented a pamphlet (incl. with June vestry notes) for church inventory for items covered under insurance. Estimated cost of insurance for the year is $4500.00.

1) Maggie Uthoff: New signatures needed on the three checking accounts (general,

building and memorial). The bank needs a copy of the minutes. Margaret Uthoff and Lisa Whitney will be taken off the accounts. Patricia Dannenberger and James Sims will be added to the accounts as signers.

2) Loyd Platson: Maisie Cafeo will do fund raiser(s) to help offset the cost of travel

expenses to camp ($100.00). We will ask her to help with the survey events.

3) Fred Slaughter: Feels it is unfair that a small number of people have to clean the

church. He suggested that we hire someone on a part time basis to clean. Also draw up a list of what needs to be done. Should get bids from outside companies

or hire someone from the church. Would like to have information by next vestry

meeting. Carol will make a list of light and heavy duty items. Patty brought up

issue of “employee of the church” or “independent contractor”.

4) Jim Sims: Revisit of Serenity Garden, he brought a model of the arbor and

fences. He will talk to the master gardeners in town about suitability of plants.

Good of the Church:

1) Julie Platson: Presented Vestry Papers for May/June 2009 and asked all to read this. This is included with June vestry notes. The Pentecost picnic was a huge

success. Clelia Garrity will hold an information and discussion meeting regarding

Pastoral care on Sunday June 28^th at 9:30 A.M.

1) Lisa Whitney: Next work day will be May 30^th from 8-12 A.M. Lisa will put up

a sign up sheet next Sunday and make the announcement.

2) Loyd Platson: Building and grounds work group would like to get a group of

people/committee that would rotate to check on grounds at least once a week

and to develop a list of what needs to be done.

3) Loyd Platson: Need to have pull tabs removed from cans before crushing.

An announcement will be made regarding this. Also Maggie Uthoff is going

to purchase and donate a can crusher to be left in the shed.

Old Business:

1) Julie Platson: Regarding stand for children day, most of the entertainers have

responded. Still waiting for response from schools regarding teachers’ names.

Table decorations will be given out by sealed bid. A raffle will also be held.

2) Julie Platson: Next teen night will be held May 15^th at the Boys and Girls club

from 6-9 P.M. After that they will be held at the pool along with family nights.

A community picnic will be held July 11^th in collaboration with NCC.

3) Loyd Platson: Discussed three options for flooring for the church building.

First option was a carpet sample from Floyd elementary school.

Second option was concrete and garage floor epoxy. Estimated cost for this

is between $500.00 and $800.00 including prep work. Would also need about

2-5 gallon buckets of paint and etcher/cleaner. Work would take about one

week to complete.

Third option is Traffic Master Allure pvc laminate flooring that looks like wood

or tile. Estimated cost is $3,600.00. Loyd will take a sample of altar wood to

Home Depot to get a sample of the pvc flooring that most closely matches the

altar and also bring back samples of the “tile”. The vestry voted against options

1 and 2. All agreed.

4) Jim Sims: Up date on “quiet garden”; Some ideas are semi-seclusion, greenery

and flowers, comfortable seats or benches with arm rests, shelter from the sun,

and possible screening from unfavorable views. Also may want some structures

such as statues or a gazebo and include pathways. Main concerns are gravel that

needs to be redistributed and smoothed out and cover view of air conditioners

with lattice and/or vines. Maggie Uthoff suggested stepping stones for the

children to make. Loyd Platson felt we need to decide on a theme, IE; serenity,

reflection or quiet area. Jim Sims suggested an arbor going in to the garden.

Loyd asked if Jim Reed could work on the gravel before the workday on May 30.

Patty Dannenberger suggested making the arbor and pathway(s) smooth and

wheelchair accessable.

Additions:

The vestry reviewed the memo from Bob Green regarding the insurance policy

including the umbrella coverage.

Good of the Church:

Three stained glass windows were installed on the west side of the church

building on Thursday, April 2nd by Fr. Thompson, Bob Sullivan and a third

person. The windows represented the Nativity, Baptism and the Good Shepard.

7) FYI: Each plastic jar of pull tabs equals approx. six pounds which equals three hours of cancer treatment or kidney dialysis treatment.

Lisa Whitney spoke with Joan Kennedy – Joan will organize and run first couple of gatherings for making cards from recycled cards.

New Business:

1) Julie Platson discussed and asked that application for endorsement of candidacy

for Clelia be completed. Jim Sims made a motion to approve. Second by Maggie

Uthoff. Motion was carried.

2) Loyd Platson discussed Substance of Abuse meetings held quarterly as a lunch

and that St. Martin’s be the food prep/sponsor. The coalition provides a $100.00

stipend for this. Loyd recommended that the proceeds go toward teen night.

3) Stand for Children will be held May 9^th or 16^th. Julie will verify if this will be the

10^th anniversary for this event.

4) Lisa Whitney made a motion to do a grounds work day on April 4^th and ask for

carried.

5) Regarding going through and organizing files; It was agreed that a small group

should do this to protect private information. Dotty Webb has volunteered one or

two days a week to help staff office.

Additions to the Agenda:

Carol Slaughter: Alter Guild discussed purchase of new alter and alter linens and idea

to contact Diocese to see if other churches that have closed might have an alter

available. We do not want to purchase new linens until we know new alter size.

Also, for vestry retreat, would like to discuss Alter Guild responsibilities and

regular cleaning duties.

Lisa Whitney proposed getting a new chalis, paton and host box (current items are too

small). Also that funds come from Memorial Fund. Carol Slaughter made a motion

to purchase items and that Julie choose from the items discussed during the meeting.

Second by Maggie Uthoff. Motion was carried.

Other members suggested that the church provide for two camperships for Galilee

provided that the youth would commit to do fund raisers to help with this. The

camperships will cost $380.00 per week.Lisa Whitney made a motion to approve.

Second by Patty Dannenberger. Motion was carried.

Insurance Renewal: Bob Green discussed umbrella rider and are we a mission

church? Irv and Jim do not have answers yet.

Reserve Fund: Bob green says no guide lines are available. He will look up standard

guidelines for commercial buildings.

Audit committee mentioned in item 5 under old business. Flooring was not discussed.

Good of the Church:

Julie Platson reported that the classes with Clelia have been productive and

informative.

Next teen night will be March 20^th at the Boys and Girls club from 6 – 9 P.M.

Julie won a door prize from the community library at the chamber mixer-free

advertising for St. Martin’s on Friends of the Library website.

Old Business:

1) Julie Platson – Stand for Children will be on Saturday May 16 at 11:30. Julie will

ask the congregation to donate some of the food items (chips,

soda, water) to help off-set the cost. Bob Green suggested a paid

advertisement to get information out and get more people

involved.

2) Church work day: Lisa Whitney will look into getting more rock to go under the

two trees in front of the parish hall. She asked for approval to

purchase rock and have it delivered before the work day on

April 4. Carol Slaughter made a motion to order six tons of

rock and store any unused rock. Second by Patty Dannenberger.

Motion was carried. (Color to be determined – Rock on sale)

3) Church Inventory: Julie Platson – List has been completed by Julie, Lisa and

Loyd. Altar Guild items were done by Carol Slaughter and

Fay Wagus. List will be with vestry notes.

4) Office Furniture: Loyd Platson – Coalition is part of United Way and Loyd got

additional furniture from their giveaway. We got furniture, a

printer, binders, irrigation items, etc. Vestry needs to write a

thank you letter to NCC for their support. Loyd will write the

letter. Bob Green suggested a card or letter to Dotty Webb in

appreciation for her volunteer work in the office.

5) Loyd Platson – We have collected six pounds of pull tabs so far.

6) Julie and Loyd gave an update on Saturday (3/28/09) workshop in Las Vegas with

Bishop Dan. Workshop was informative and enlightening.

7) Vestry mini retreat at Loyd and Julie’s house tonight for members from 3:30-5:30.

Spouses to join after for a bar-b-que and bon fire.

Additions:

1) Julie Platson asked for St. Martin’s to make a donation to Camp Spirit. Lisa

Whitney made a motion to provide one campership @ $380.00 with funds

from outreach. Second by Carol Slaughter. Motion was carried.

2) Bill Edwards has offered to make a cross out of wood with lighting for night time

for top of new building. Bob Green questioned the structural integrity of

the building to support this. A discussion was held and Loyd will tell Bill

to hold off making cross until issue can be resolved.

Good of the Church: Loyd Platson – Single Event contract needs to be signed by Carol

Slaughter for NCC. Substance Abuse Task Force meetings are

every other month. $100.00 will be re-imbursed. New contract has

to be signed for each event. Jim Simms made a motion to accept.

into new contract with NCC that St. Martin’s will provide teen night

once a month and will be reimbursed $200.00 per event. Contract to

estimates and bring to next meeting.
