May 3, 2009 Vestry Meeting

St. Martin’s in the Desert

 

Meeting called to order at 12:25 P.M. by Sr. Warden Loyd Platson

Additions to Agenda:     Memo from Bob Green regarding insurance policy

 

Review and approval of minutes from vestry meeting of March 29, 2009:

     Two corrections (spelling errors) Corrected copy with vestry meeting notes for April

     Motion to approve as corrected by Maggie Uthoff

     Second by Jim Sims

     Motion was carried

 

Treasurer’s Report:     Loyd Platson (Carol Slaughter not present)

    

     Check for $380.00 was to go to camp spirit per meeting of March 29th, not shown on

     report. Also, Julie questioned “in kind donations” amount. Julie will follow up on both

     issues.

     Motion to approve with two issues in question by Lisa Whitney

     Second by Maggie Uthoff

     Motion was carried

 

Committee Reports:     None

 

New Business:     

 

1)          Lisa Whitney: Next work day will be May 30th from 8-12 A.M. Lisa will put up

             a sign up sheet next Sunday and make the announcement.

 

2)          Loyd Platson: Building and grounds work group would like to get a group of

people/committee that would rotate to check on grounds at least once a week

and to develop a list of what needs to be done.

 

 

3)          Loyd Platson: Need to have pull tabs removed from cans before crushing.

       An announcement will be made regarding this. Also Maggie Uthoff is going

       to purchase and donate a can crusher to be left in the shed.

 

Old Business:    

 

1)          Julie Platson: Regarding stand for children day, most of the entertainers have

        responded. Still waiting for response from schools regarding teachers’ names.

       Table decorations will be given out by sealed bid. A raffle will also be held.

 

2)          Julie Platson: Next teen night will be held May 15th at the Boys and Girls club

       from 6-9 P.M. After that they will be held at the pool along with family nights.

       A community picnic will be held July 11th in collaboration with NCC.

 

3)          Loyd Platson: Discussed three options for flooring for the church building.

        First option was a carpet sample from Floyd elementary school.

        Second option was concrete and garage floor epoxy. Estimated cost for this

        is between $500.00 and $800.00 including prep work. Would also need about

       2-5 gallon buckets of paint and etcher/cleaner. Work would take about one

       week to complete.

       Third option is Traffic Master Allure pvc laminate flooring that looks like wood

       or tile. Estimated cost is $3,600.00. Loyd will take a sample of altar wood to

       Home Depot to get a sample of the pvc flooring that most closely matches the

       altar and also bring back samples of the “tile”. The vestry voted against options

       1 and 2. All agreed.

 

4)          Jim Sims: Up date on “quiet garden”; Some ideas are semi-seclusion, greenery

       and flowers, comfortable seats or benches with arm rests, shelter from the sun,

       and possible screening from unfavorable views. Also may want some structures

       such as statues or a gazebo and include pathways. Main concerns are gravel that

       needs to be redistributed and smoothed out and cover view of air conditioners

       with lattice and/or vines. Maggie Uthoff suggested stepping stones for the

       children to make. Loyd Platson felt we need to decide on a theme, IE; serenity,

       reflection or quiet area. Jim Sims suggested an arbor going in to the garden.

       Loyd asked if Jim Reed could work on the gravel before the workday on May 30.

       Patty Dannenberger suggested making the arbor and pathway(s) smooth and

       wheelchair accessable.

 

Additions:

 

     The vestry reviewed the memo from Bob Green regarding the insurance policy

     including the umbrella coverage.

     Motion to continue umbrella coverage at $250.00 made by Jim Sims

     Second by Maggie Uhtoff

     Motion was carried     *Memo is included with vestry notes for May

 

Good of the Church:

 

     Three stained glass windows were installed on the west side of the church

     building on Thursday, April 2nd by Fr. Thompson, Bob Sullivan and a third

     person. The windows represented the Nativity, Baptism and the Good Shepard.

 

Next meeting will be on June 7, 2009 after social hour.
