June 7, 2009 Vestry meeting

St. Martin’s in the Desert

 

Meeting called to order at 12:45 P.M. by Sr. Warden Loyd Platson

Opening Prayer:     Julie Platson – Daily devotional thought “Front Porch People”

 

Additions to Agenda:     Check signing, fund raiser for camp (Maisie), cleaning of

                                       church, revisit serenity garden

 

Review and approval of minutes from vestry meeting of May 3, 2009:

     Motion to approve as is by Maggie Uthoff

     Second by Jim Sims

     Motion was carried

 

Treasurer’s Report:     Carol Slaughter:

     Under Christian Education the amount of $380.00 was for the campership for

     Maisie Cafeo(previously approved by the vestry).

     Under Outreach Expenses $380.0 was for the Camp Spirit donation(previously

     approved by the vestry).

     Under Office Expenses $69.91 was for bulletins and PV Times advertisement.

     Under Worship $60.00 was for third quarter lectionaries.

     Carol Slaughter answered question about In-kind donation amount. This will

     always show as -0- on report, at the end of the year the amount(s) donated will

     show on individual donation report.

     Outreach fund includes the Discretionary fund.

Committee Reports:     None

 

 

 

 

Old Business:    

 

1)          Loyd Platson: Final decision on flooring has been made. Cost will be approx.

$4,120 for the pvc “tile” flooring. Money for the flooring will come from the

following funds: Building Fund – $700.00. General Fund – approx. $1700.00.

Memorial Fund – approx. $1700.00. The last two being ½ each of the balance

remaining after the amount taken from the building fund.

2)          Loyd Platson: Re: Building and Grounds Landscaping Committee, we will

        revisit at next meeting, need to talk to people about this.

 

New Business:

 

1)          Julie Platson: Endorsement for Ordination to the Diaconate for Clelia requires signatures from all vestry members. All approved and signed form.

 

2)          Julie Platson: Asking for sponsorship of the Nathan Adelson Blue Butterfly

        Coffee House event to take place on July 11, 2009. The cost is $250.00 to be

        taken from the General Fund under advertising.

3)          Loyd Platson: Community Health Surveys from NCC: St. Martin’s will contract

        with NCC to do surveys at locations around town. St. Martin’s will receive

        $1.50 for each survey that is turned in. The surveys need to be turned in by the

        end of July. The incentive to fill out a survey will be a bottle of water or a soda

        and a chance to win a $25.00 gift card. Loyd suggested that the money made

        from this be used to offset the cost of the flooring and to cover the cost of the

        soda, water and gift card.

4)          Julie Platson: Summer teen nights for June will be on 6/19 (teen night)

        from 6-8 P.M. and 6/22 (family night) from 6-8 P.M. Need adult volunteers to

        be there to help and to supervise.

 

5)          Julie Platson: Bishop Dan will visit St. Martin’s on 8/16/2009 when we celebrate

        the 20th anniversary of St. Martin’s. We need to start making plans for food,

        possibly a new church banner. Also need to invite old members, local dignitaries,

        and TV and radio stations and put an ad in the paper. Need to organize

        committees to do this. Julie and Carol will coordinate.

6)          Julie Platson: Stand for Children Day 2009 income/expense report shows that

this is more a community service project than a fund raiser. Report is included

with vestry meeting notes for June.

    

7)          Bob Green: Re: Audit Committee Report (report with vestry notes for June).

St. Martin’s is in transition, goal is to be in total compliance with the Manual

of Business Methods in Church Affairs. Loyd asked vestry members to

individually review and make notes on report and be ready to discuss at the

next vestry meeting. Carol suggested an audit be done every five (5) years.

    

8)           Bob Green: Re: Church insurance assessment (incl. with June vestry notes).

Bob presented a pamphlet (incl. with June vestry notes) for church inventory for items covered under insurance. Estimated cost of insurance for the year is $4500.00.

 

Additions to Agenda:

 

1)          Maggie Uthoff: New signatures needed on the three checking accounts (general,

building and memorial). The bank needs a copy of the minutes. Margaret Uthoff and Lisa Whitney will be taken off the accounts. Patricia Dannenberger and James Sims will be added to the accounts as signers.

2)          Loyd Platson: Maisie Cafeo will do fund raiser(s) to help offset the cost of travel

expenses to camp ($100.00). We will ask her to help with the survey events.

 

3)          Fred Slaughter: Feels it is unfair that a small number of people have to clean the

church. He suggested that we hire someone on a part time basis to clean. Also draw up a list of what needs to be done. Should get bids from outside companies

or hire someone from the church. Would like to have information by next vestry

meeting. Carol will make a list of light and heavy duty items. Patty brought up

issue of “employee of the church” or “independent contractor”.

Loyd Platson made a motion to begin process to investigate costs, etc.

Second by Maggie Uthoff

Motion was carried

 

4)          Jim Sims: Revisit of Serenity Garden, he brought a model of the arbor and

fences. He will talk to the master gardeners in town about suitability of plants.

 

Good of the Church:

 

1)          Julie Platson: Presented Vestry Papers for May/June 2009 and asked all to read this. This is included with June vestry notes. The Pentecost picnic was a huge

success. Clelia Garrity will hold an information and discussion meeting regarding

Pastoral care on Sunday June 28th at 9:30 A.M.

 

 

Next meeting will be on July 19, 2009 after social hour
