March 1, 2009 Vestry Meeting

St. Martin’s in the Desert

Meeting called to order at 12:15 P.M. by Sr. Warden Loyd Platson

Present were:

Review and approval of minutes from vestry meeting of February 8, 2009:

     Correction of one spelling error (corrected copy with vestry notes for February)

     Motion to Approve by Lisa Whitney

     Second by Carol Slaughter

     Motion was carried

 

Treasurer’s Report (for February) was presented by Carol Slaughter. Bob green discussed

      Balance Sheet, Profit and Loss Comparison and Expenses by Vendor (copies of these

      reports were included)

      Motion to Approve by Maggie Uthoff

      Second by Jim Sims

      Motion was carried

 

Old Business:

 

1)      Julie Platson proposed letter writing in April for Bread for the World 2009 and a one time donation. Lisa Whitney made a motion that the loose offering from April 26th go to this. Second by Patty Dannenberger. Motion was carried.

2)      Julie Platson will put up a sign up sheet for help with the Senior Resource Carnival to be held on March 19th

3)      Loyd Platson discussed mini retreat for vestry. All agreed to have this on March 29th after the vestry meeting, followed by a bar-b-que that included spouses.

4)      Julie and Carol have lists for inventory. Lisa, Loyd and Julie will get final list together.

5)      Audit committee not yet selected

6)      Carol Slaughter made a motion for Loyd to purchase fire proof file cabinet and he will be reimbursed. Second by Maggie Uthoff. Motion was carried.

7)      FYI: Each plastic jar of pull tabs equals approx. six pounds which equals three hours of cancer treatment or kidney dialysis treatment.

8)       Lisa Whitney spoke with Joan Kennedy – Joan will organize and run first couple of gatherings for making cards from recycled cards.

 

New Business:

 

1)   Julie Platson discussed and asked that application for endorsement of candidacy                       

            for Clelia be completed. Jim Sims made a motion to approve. Second by Maggie

            Uthoff. Motion was carried.

     2)   Loyd Platson discussed Substance of Abuse meetings held quarterly as a lunch

           and that St. Martin’s be the food prep/sponsor. The coalition provides a $100.00

           stipend for this. Loyd recommended that the proceeds go toward teen night.

           Patty Dannenberger made a motion to approve. Second by Maggie Uthoff.

           Motion was carried.

3)      Stand for Children will be held May 9th or 16th. Julie will verify if this will be the

10th anniversary for this event.

4)      Lisa Whitney made a motion to do a grounds work day on April 4th and ask for

committee members at that time. Second by Patty Dannenberger. Motion was

carried.

5)      Regarding going through and organizing files; It was agreed that a small group

should do this to protect private information. Dotty Webb has volunteered one or

two days a week to help staff office.

 

Additions to the Agenda:

 

     Carol Slaughter: Alter Guild discussed purchase of new alter and alter linens and idea  

     to contact Diocese to see if other churches that have closed might have an alter

     available. We do not want to purchase new linens until we know new alter size.

     Also, for vestry retreat, would like to discuss Alter Guild responsibilities and

     regular cleaning duties.

 

     Lisa Whitney proposed getting a new chalis, paton and host box (current items are too

     small). Also that funds come from Memorial Fund. Carol Slaughter made a motion

     to purchase items and that Julie choose from the items discussed during the meeting.

     Second by Maggie Uthoff. Motion was carried.

 

     Other members suggested that the church provide for two camperships for Galilee

     provided that the youth would commit to do fund raisers to help with this. The

     camperships will cost $380.00 per week.Lisa Whitney made a motion to approve.

     Second by Patty Dannenberger. Motion was carried.

 

     Insurance Renewal:   Bob Green discussed umbrella rider and are we a mission  

     church? Irv and Jim do not have answers yet.

 

     Reserve Fund:   Bob green says no guide lines are available. He will look up standard

     guidelines for commercial buildings.

 

     Audit committee mentioned in item 5 under old business. Flooring was not discussed.

 

Good of the Church:  

     Julie Platson reported that the classes with Clelia have been productive and

     informative.

     Next teen night will be March 20th at the Boys and Girls club from 6 – 9 P.M.

     Julie won a door prize from the community library at the chamber mixer-free   

     advertising for St. Martin’s on Friends of the Library website.

Next Vestry meeting will be March 29, 2009 after social hour (this will be for April)
